Why Your QR Code Won't Scan: Best Practices Guide

1. The 10:1 Sizing Rule

How large should your QR code be? Sizing is determined by the **scanning distance** — the physical distance between the camera lens and the printed code.

The industry standard is the **10:1 ratio rule**:

2. Contrast & Color Rules

Mobile cameras read QR codes by measuring light levels reflected from different segments. If the camera sensor cannot clearly distinguish between a module (foreground) and the background, the scan fails.

  • Avoid Inverted Backgrounds: While smartphones can read white QR codes on dark backgrounds, physical reflections on paper, vinyl, or plastic often interfere. Standardize on dark foregrounds on light backgrounds.
  • Maintain 4:1 Contrast Ratio: Foreground elements must have a strong contrast compared to the background. Avoid pastel-on-pastel combinations (like light grey on white).
  • Watch out for gradient endings: If using a gradient, verify that the lightest portion of the gradient is still dark enough to contrast with the background.

3. Data Density: Keep it Simple

The amount of data encoded determines the size and density of the QR code grid. More characters mean more columns and rows, which results in smaller modules.

A code with high data density (such as a 200-character URL with parameters) is much harder to scan on older phones or in poor lighting than a simple 25-character URL.

How to combat data density:

  • Use short URLs: Clean, short URLs make the QR code grid larger and easier to scan.
  • Redirect links: Utilize short redirection links rather than pasting long URLs with tracking parameters.
  • Clean vCards: If creating a business contact code, only include essential fields (name, phone, email, website) rather than full physical addresses or notes.

4. File Formats: SVG vs. PNG

Vector format (SVG)

For Print Media

SVG codes are defined mathematically as geometric paths. They can scale infinitely — from a stamp to an outdoor billboard — without losing sharpness or pixelating. Always provide SVG files to your printing company.

Raster format (PNG)

For Digital Media

PNG codes are made of fixed pixels. They are perfect for email signatures, websites, social media posts, and PowerPoint slides where the resolution is predetermined.

5. Quick Troubleshooting Checklist

Why does my QR code scan on my new iPhone but not on older Android devices?

This is usually caused by low contrast or high data density. Newer phones have better lens resolution and smart post-processing filters. To support older models, increase contrast and use shorter URLs.

Can I print on glossy paper?

Glossy paper creates strong light reflections (glare) which can confuse camera sensors. Matte finishes are far more reliable for scanning, especially under bright indoor lights.

Does my logo need to be transparent?

No, a white or solid colored background shield behind the logo is recommended. Without it, the dark modules of the QR code might overlap with your logo, making it illegible to both users and scanners.
